Part-Time Parish Office Administrative Assistant

Location: Sts. John and Paul Church – Larchmont, NY

Schedule: Monday–Friday, 9:00 a.m.–2: 00 p.m. (25 hours per week)

FLSA Status: part-time, eligible for overtime

 

Position Summary

Sts. John and Paul Church is seeking a welcoming, organized, and dependable individual to serve as our Part-Time Parish Office Administrative Assistant. As the first point of contact for parishioners, visitors, and callers, this individual plays an important role in creating a hospitable, faith-filled environment while supporting the daily administrative operations of the parish.

 

Key Responsibilities

Reception and Hospitality

  • Welcome parishioners, visitors, and callers with warmth, professionalism, and courtesy.
  • Answer and direct incoming phone calls, take accurate messages, and respond to general inquiries.
  • Coordinate Mass intentions, room reservations, and other parish requests.

 

Administrative Support

  • Provide administrative support to the Pastor, clergy, and parish staff.
  • Maintain parish calendars, schedules, office records, and sacramental records.
  • Prepare parish bulletins, correspondence, and other administrative documents.
  • Perform general office duties, including filing, copying, data entry, mail processing, and email communications.
  • Manage incoming and outgoing mail, packages, and deliveries.

 

Communications

  • Maintain and update the parish website.
  • Prepare and distribute weekly Flocknote communications and other parish announcements.

 

Parish Events and Ministry Support

  • Coordinate parish special events and liturgical celebrations, including Holy Days and seasonal observances.
  • Assist with the planning and execution of parish fundraising events.
  • Provide logistical and administrative support for parish meetings, ministries, and special events.

 

Qualifications

  • High school diploma or equivalent required; prior office or administrative experience preferred.
  • Strong interpersonal, organizational, and communication skills.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), email, and other basic office software.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Detail-oriented with the ability to prioritize multiple tasks effectively.
  • Familiarity with Catholic parish life, liturgy, and sacramental practices is helpful

Compensation

Compensation: $25–$30 per hour, depending on experience and qualifications.
