Construction Project Coordinator
Overview/Purpose:
The primary purposes of this role are to support the daily operations and assist the Director of Property Management. This role provides essential administrative, scheduling, and expediting support across multiple projects.
Reports to: Director of Property Management
Work Location: 488 Madison Avenue, New York, NY 10022
Responsibilities:
Project Coordination and Administration
- Provide general administrative assistance to the director.
- Maintain organized project files, documentation, and correspondence.
- Monitor the preparation of project reports, meeting minutes, and project updates prepared by team project managers.
- Receive, route and address project issues that arise on projects; ensure attention to issues by appropriate personnel.
- Other related duties as assigned.
Scheduling and Reporting
- Support project scheduling by monitoring project timelines and deadlines.
- Assist in tracking deadlines and ensuring timely follow-ups.
Expediting & Project Support
- Track permits, approvals, and material deliveries to ensure project timelines are met.
- Follow up with project managers and appropriate internal teams on outstanding items.
- Assist in monitoring project progress and flagging potential delays.
Communication & Coordination
- Ensure Director of Property management is aware of all communications necessary to ensure timely project execution and is given notice of delays and problems.
Education, Experience, and Skills:
- Bachelor's degree or diploma in Business Administration, Technology, Construction Management, or related field (or equivalent experience)
- 0-2 years of administrative or coordination experience (construction industry a plus)
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to multitask and work in a fast-paced environment
- Detail-oriented with a proactive approach to problem-solving in a respectful and collaborative manner.
- Familiarity with construction documentation and terminology
- Experience with project management or scheduling tools (e.g., MS Project, Procore, or similar)
- Basic understanding of permitting and construction processes
Compensation range for this position is: $32.97 - $38.46 per hour (estimated $60,000 - $70,000 annually).
This position is considered full-time, non-exempt, and eligible for overtime.
