Associate Director of Property Management


The Associate Director is responsible for the planning, coordination, and delivery of Property Management-led construction, renovation, repair, and facility improvement projects throughout the Archdiocese, with particular emphasis on projects supported by charitable contributions, donor funding, grants, and other designated funding sources.

 

Acting as an owner’s representative, the Associate Director will manage projects from initial assessment and scope development through funding, design, procurement, construction, and closeout. The position will work closely with parish and school leadership, Capital Projects, Development, Parish Finance, consultants, contractors, and other Archdiocesan departments to ensure projects are properly scoped, funded, coordinated, and successfully completed.

Key Responsibilities

Project Management

  • Support the management of multiple construction, renovation, repair, and facility improvement projects from initial planning through completion and closeout.
  • Develop project scopes, budgets, schedules, procurement strategies, and implementation plans.
  • Assemble and coordinate project teams including architects, engineers, consultants, contractors, and vendors.
  • Manage procurement activities including scopes of work, proposal and bid solicitation, contractor vetting, bid evaluation, and recommendations for award.
  • Monitor project schedules, budgets, construction progress, and overall performance through site visits, project meetings, and regular reporting.
  • Review drawings, specifications, proposals, contracts, change orders, payment applications, and other project documentation.
  • Identify and proactively address schedule, cost, contractual, technical, funding, and operational issues.
  • Ensure work complies with approved documents, applicable codes and regulations, contractual requirements, and Archdiocesan standards.

Financial, Donor & Interdepartmental Coordination

  • Serve as a key Property Management liaison among parish leadership, Development, Parish Finance, Capital Projects, and other Archdiocesan departments.
  • Coordinate with Development on donor-funded projects to ensure project scope, budgets, schedules, and expenditures remain aligned with approved funding and donor intent.
  • Coordinate with Parish Finance regarding parish participation, available funding, approvals, commitments, reimbursements, and project financial requirements.
  • Work closely with Capital Projects on projects requiring shared expertise, resources, participation, or oversight.
  • Review invoices and payment applications for accuracy, contractual compliance, funding eligibility, and appropriate supporting documentation.
  • Evaluate change orders for scope, cost, schedule impact, and contractual merit.
  • Identify potential funding, budget, or scope issues and coordinate appropriate recommendations and corrective actions.

Stakeholder, Quality & Closeout Management

  • Serve as a primary Property Management representative for assigned projects and maintain productive relationships with clergy, parish and school leadership, consultants, contractors, vendors, donors, and Archdiocesan personnel.
  • Communicate project scope, schedule, budget, funding status, responsibilities, risks, and significant decisions to appropriate stakeholders.
  • Monitor construction quality and coordinate resolution of deficiencies and incomplete work.
  • Manage punch-list completion, inspections, testing, commissioning, and turnover as applicable.
  • Assist in the delivery of proper regulatory, financial, and contractual closeout, including warranties, lien waivers, as-built drawings, operations and maintenance manuals, permits, certificates, and other required documentation.
  • Assist the Director of Property Management with evaluation and prioritization of facility needs and project strategies.
  • Represent the Director of Property Management on project-related matters when requested.


Qualifications

  • Bachelor’s degree in Construction Management, Engineering, Architecture, Facilities Management, or a related field preferred; significant relevant experience may be considered in lieu of a degree.
  • Minimum of 10 years of progressively responsible construction, facilities, or project management experience, including experience in a senior or leadership capacity.
  • Demonstrated experience managing charitable, donor-funded, grant-funded, nonprofit, or similarly funded construction projects strongly preferred.
  • Experience with institutional, educational, religious, nonprofit, commercial, or similar facilities preferred.
  • Familiarity with the Archdiocese of New York or a comparable large institutional organization is highly desirable.
  • Strong knowledge of construction methods, estimating, budgeting, scheduling, procurement, contract administration, and project controls.
  • Ability to read and interpret architectural and engineering drawings, specifications, contracts, and construction documentation.
  • Proficiency with Microsoft Office and project management platforms such as e-Builder, Procore, Microsoft Project, Primavera P6, or similar systems.
  • Excellent leadership, organizational, communication, problem-solving, negotiation, and decision-making skills.
  • Ability to independently manage multiple projects and work effectively with clergy, senior leadership, donors, financial professionals, consultants, contractors, and other stakeholders.


Physical & Travel Requirements

  • Ability to visit and walk active construction sites and access building areas necessary to evaluate project conditions.
  • Position involves a combination of office and field work with regular travel throughout the Archdiocese.

 

 

Compensation range for this position is: $190,000 - $210,000 annually.

This position is considered exempt and not eligible for overtime.
