Administrative Assistant

 

Overview/Purpose:

The mission of the department is to build the Kingdom of God by supporting, training, and resourcing the parishes of the Archdiocese of New York in their ministry to evangelize and form young people and their families from birth to twelfth grade. Made up of a team of ministry experts and consultants who work collaboratively, the department marries the richness of the Catholic Church with an understanding of the needs of today’s young people and families to foster disciples of Jesus in the community of the Catholic faith.

 

Reports to: Director for Youth Faith Formation

 

Work Location: 488 Madison Avenue, New York, NY 10022

 

Responsibilities:

  • Assist the Office of Youth Faith Formation senior management to ensure the smooth running of the day-to-day logistics of the office.
  • Provide support to the Department of Youth Faith Formation and perform varied administrative duties requiring knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the department to ensure smooth and efficient operations of the office.

·         Work with various team members to support the work of the department by engaging in written, electronic, or verbal communication, scheduling programs and events, and assisting in projects and marketing.

·         Help maintain the department’s social media presence and website.

·         Prepare expense reimbursements for staff and submit them to Accounts Payable.

·         Update the database of parish personnel, volunteers, and program structures regularly.

·         Format and distribute departmental newsletters.

·         Process and synthesize survey reports.

·         Assist in the registration process for events and programs.

·         Prepare materials and handouts for trainings, events, and programs.

·         Greet visitors, answer phones, and direct individuals to the correct staff member.

·         Schedule, take notes, and distribute minutes from meetings.

·         Proofread correspondence, marketing materials, and other items.

·         When required, attend and assist at various departmental events, requiring some nights and weekends.

  • Participate in departmental team and working-group meetings.
  • Complete other duties, as assigned.

 

Education, Experience, and Skills:

  • 3+ years of experience in office administration.
  • Bachelor’s degree preferred.
  • Excellent organizational, social, and interpersonal skills.
  • Excellent written and verbal communication skills.
  • Ability to be flexible and work well in a team.
  • Ability to multi-task and work autonomously.
  • Willingness to attend occasional weekend or evening events.
  • Bilingual English/Spanish preferred.
  • Marketing abilities and graphic design skills are a plus.
  • Enjoys being an active member of a team in a joyful work environment.
  • Knowledge and use of Lawson a plus.
  • Proficient in MS Office programs (Word, Excel, PowerPoint, Outlook) and online navigation and research.
  • Familiarity with online team collaborative programs such as Teams, Sharepoint, Dropbox, etc. a plus.

 


Compensation range for this position is: $30.00 - $30.77 per hour/annually.
This position is considered full-time, non-exempt, and eligible for overtime.
