Manager of Building Operations

 

Position Summary

The Manager of Building Operations assists the Director of Building Operations and Security in the management and oversight of building operations, facilities management, mail services, reception services, vendor contracts, departmental personnel, and administrative support functions for its client, the Archdiocese of New York's headquarters located at 488 Madison Avenue.

 

This position serves as a key member of the management team and is responsible for ensuring the efficient operation of building services, facility maintenance programs, mailroom operations, reception services, event support, and special projects while promoting a professional, safe, and welcoming environment for employees, visitors, clergy, and guests.

Duties and Responsibilities

 

Building Operations

  • Assist in the daily management and oversight of building operations and facility services.
  • Coordinate and monitor work orders, service requests, and maintenance activities.
  • Conduct routine facility inspections and identify operational, maintenance, and safety concerns.
  • Assist with space planning, workstation assignments, office moves, and furniture installations.
  • Coordinate building repairs, preventive maintenance programs, and vendor services.
  • Assist in managing building improvement projects and capital initiatives.
  • Maintain operational records, inventories, floor plans, and departmental databases.

 

Mailroom Operations

  • Assist in the management and oversight of mailroom operations and personnel.
  • Monitor incoming and outgoing mail processes to ensure timely and accurate distribution.
  • Coordinate mailroom staffing schedules and operational coverage.
  • Assist with vendor relationships involving mail services, postage equipment, and courier services.
  • Develop and maintain procedures designed to improve operational efficiency and accountability.

 

Reception and Visitor Services

  • Supervise reception and visitor services personnel.
  • Ensure professional and courteous service is provided to all visitors, clergy, employees, and vendors.
  • Oversee visitor management procedures and front desk operations.
  • Assist in maintaining telephone directory information and reception protocols.
  • Monitor reception staffing schedules and coverage requirements.

 

Personnel Management

  • Assist with the supervision, training, scheduling, and performance management of assigned personnel.
  • Promote accountability, professionalism, and customer service throughout the department.
  • Assist with onboarding and training new staff members.
  • Monitor attendance, leave requests, and daily staffing coverage.

 

Vendor and Contract Administration

  • Coordinate and monitor the performance of vendors, contractors, and service providers.
  • Assist with obtaining proposals, reviewing bids, and evaluating vendor performance.
  • Monitor contract compliance and service delivery standards.
  • Assist with budget planning, invoice review, and expenditure tracking.

 

Events and Administrative Support

  • Coordinate operational support for meetings, conferences, special events, and Archdiocesan functions.
  • Assist departments with logistical planning and event setup requirements.
  • Ensure adequate staffing and operational coverage for after-hours and weekend events.
  • Support the implementation of departmental policies, procedures, and operational standards.

 

Safety and Security Support

  • Assist the Director with emergency preparedness initiatives and operational continuity planning.
  • Coordinate building access requests and support access control administration.
  • Participate in emergency response activities and operational incident management.
  • Assist with investigations, incident documentation, and operational reporting as assigned.

 

Other Duties

  • Serve as Acting Director of Building Operations and Security in the Director's absence.
  • Perform additional duties and special projects as assigned.

 

Education, Experience, and Skills

  • Associate degree or equivalent combination of education and relevant experience preferred.
  • Minimum of five (5) years of experience in building operations, facilities management, operations management, or a related field, with supervisory or management experience.
  • Strong organizational, communication, computer, and problem-solving skills.
  • Demonstrated professionalism, sound judgment, discretion, and ability to maintain effective working relationships and promote teamwork.

 

 

Compensation range for this position is: $80,000 - $90,000 annually.

This position is considered exempt and not eligible for overtime.
